- Project Overview
- Title: Real-Time Visibility 3 Optimization Dashboard
- Key Objectives
- Data Integration: Ensure the new columns are visible in the database and reflected in BI tools after refresh.
- KPI Consistency: Maintain the accuracy of existing dashboards and analytics features while integrating the new data.
- Optimization: Address errors and introduce enhancements to streamline reporting and analysis processes.
2. Description
- Real-Time Visibility 3 is an optimization project that builds on the foundation of work done in Real-Time Visibility 2. The focus was on integrating six new columns into the RTV 2 Global Table to enhance data visibility and improve business intelligence (BI) analysis. These columns include:
- Payment Date 2
- Payment Date 3
- Start Date
- Sub Days
- Sub End
- Sub Left
Additionally, new products were introduced in the Lagos office, leading to the creation of two new tables: Lagos 1 Cyber Security and Lagos 1 UI/UX. These new tables were integrated with the existing database, ensuring compatibility with reports and dashboards.
The project’s goal was to ensure these new data points are seamlessly incorporated into the ETL process and reflected in all reports and dashboards without disrupting existing KPI cards, charts, and slicers
3. Business Benefits
The integration of these new columns provides several advantages, including:
- Improved cash flow management through better visibility of payment data.
- Enhanced performance tracking with real-time metrics.
- Additional revenue opportunities from new income streams.
- Efficient course product management for new training offerings like UI/UX and Cyber Security.
- Strengthened community building through targeted marketing efforts. Better email marketing campaigns with enriched data insights.
4. Implementation Details
- ETL Update Challenges
- Errors arose during ETL refresh due to unrecognized columns. These were resolved by:
- Navigating to “Go to Error” and deleting problematic steps.
- Updating the Advanced Editor code to accommodate the new columns.
- Introduction of a Date Table
- A centralized date table was created to minimize redundancies from multiple date columns (9 in total). This decision reduced dataset complexity and improved analytical efficiency by avoiding extra transformations for date-related fields like day name, month name, and week day.
- Progress Bar for Data Entry Tracking
- A progress bar was implemented to monitor data entry for the new columns. This tool helps:
- Ensure timely data updates by the entry team.
- Enable management to set and track progress targets, ensuring accountability.
5. Recommendations
- Automate Data Refresh & Error Handling
- Implement scheduled refreshes for BI dashboards to minimize manual intervention.
- Introduce automated alerts for ETL errors to streamline troubleshooting.
- Ensure Continuous Data Quality Improvement
- Implement Date Column Data Validation Analysis: Conduct regular validation checks on date fields (e.g., Payment Date 2, Payment Date 3, Start Date) to ensure accuracy and consistency. Incorrect date entries can disrupt financial reporting, cause errors in revenue recognition, and lead to poor decision-making.
- Establish data entry guidelines and real-time validation rules in the BI system to flag anomalies before final submission.
- Train the data entry team on best practices to prevent inconsistencies in new data fields.
- Enhance User Experience & Dashboard Interactivity
- Improve filter options to allow granular analysis of payment cycles and subscription trends.
- Introduce drill-through features for deeper insights into revenue trends and student engagement.
6. Impact Insights
- Improved Revenue Tracking: Enhanced visibility into payment cycles allows the finance team to optimize collection strategies, improving cash flow management.
- Faster Decision-Making: Centralized date tables and optimized ETL processes reduce report generation time, enabling management to act swiftly.
- Higher Data Accuracy: Reduction of redundant date columns and error handling measures lead to cleaner, more reliable insights.
- Better Sales & Marketing Alignment: More precise data segmentation helps create targeted email marketing campaigns, leading to higher engagement and conversions.
- Scalability for Future Growth: The optimized BI system is now capable of handling additional data sources, setting the foundation for more advanced analytics.
7. Conclusion
- The Real-Time Visibility 3 optimization project successfully addressed the limitations of previous implementations, enhancing data reliability and enabling advanced BI analysis. The addition of new tables and columns equips the organization with robust tools to track performance, manage cash flow, and make informed decisions for sustained growth.
